Cancellation Policy

Thank you for choosing our agency for your needs. To ensure smooth coordination and efficient service delivery, we have implemented the following booking policy regarding agency connect appointments: 1. Advance Booking: All agency connect appointments must be scheduled in advance. We encourage clients to book their appointments within a reasonable timeframe to secure their preferred date and time slot. 2. Booking Window: Appointments should be scheduled within a window of 24 to 48 hours before the desired meeting time. This timeframe allows us to adequately prepare and allocate resources to meet your needs effectively. 3. Booking Confirmation: Once a booking request is received, our team will confirm the appointment via email or phone within 12 hours. This confirmation will include the scheduled date, time, and any additional details or requirements. 4. Rescheduling/Cancellation: In the event that you need to reschedule or cancel your agency connect appointment, we kindly ask for at least 24 hours' notice. This allows us to adjust our schedule accordingly and accommodate other clients effectively. 5. Late Booking Requests: While we strive to accommodate all appointment requests, bookings made less than 24 hours before the desired meeting time may be subject to availability constraints. 6. No Show/Late Arrivals: Participants are expected to join online meetings promptly at the scheduled start time. A delay of 10 minutes or more constitutes a late arrival. Arriving after 10 minutes without prior notice will require rescheduling for the next available booking slot. The HMIS Team reserves the right to terminate the meeting if participants arrive more than 10 minutes late. 7. Exceptions: We understand that unforeseen circumstances may arise, and exceptions to this policy may be granted on a case-by-case basis. Please reach out to our team as soon as possible if you require special accommodation.
